Why is my printer not connecting to Wi-Fi?

This is one of the most common problems we see in Durham Region homes. There are a few likely causes and we can sort all of them out for you.

Quick Answer

Most printer Wi-Fi problems happen after a router change, a new Wi-Fi password, or a software update. The printer simply loses its connection to the network and needs to be set up again. If that does not sound like something you want to tackle yourself, we can take care of it during a visit.

If you would rather not work through any of this yourself, that is completely fine. This is exactly the kind of problem we sort out during a visit. Give us a call and we can take care of it for you.

What might be causing it

1

The router or password changed

The most common cause by far. If you recently got a new router, changed your Wi-Fi password, or switched internet providers, your printer will not know the new details. It needs to be set up on the network again from scratch, which involves going into the printer settings and running the wireless setup process.

2

The printer and router lost their connection

Sometimes the connection between a printer and a router simply drops, especially after a power cut or a router restart. Both devices need to be restarted together in the right order for the connection to re-establish properly.

3

The printer is showing as offline on the computer

This is a software issue rather than a hardware one. The computer thinks the printer is unavailable even though it may be on and connected. It happens when the printer driver, which is the software that lets your computer talk to the printer, gets confused.

4

The printer is too far from the router

Wi-Fi signal weakens with distance and through walls. A printer at the far end of the house or in a room with thick walls may struggle to maintain a reliable connection, causing it to drop in and out.

5

The printer software needs updating

Outdated printer software can cause connection problems that have nothing to do with your Wi-Fi. Manufacturers release updates that fix bugs including connection issues.

6

There is interference from other devices

Microwaves, cordless phones, and other wireless devices can interfere with a printer's Wi-Fi connection. This is less common but worth knowing about if the printer is in or near the kitchen.

FAQ

Common questions about printer Wi-Fi problems

Why does my printer keep going offline?

This usually happens when the printer loses its connection to your Wi-Fi network. Common causes are a router restart, a changed Wi-Fi password, or a software update that reset the printer settings. We can reconnect it properly during a visit.

Does this work for any brand of printer?

Yes. We work with all common brands including HP, Canon, Epson, Brother, and Lexmark. The process is the same across all of them.

My printer connects but then goes offline again. Why?

This usually means the printer is not holding its connection to the router. It can be caused by the printer being too far from the router, interference from other devices, or an outdated printer driver. We can diagnose and fix this during a visit.
